To provide guidance when requesting, or responding to requests, for office or communication equipment.

Policy

VR employees may request disability or non-disability related equipment through their Supervisor.

For disability related equipment Supervisors should follow the process outlined in the Ergonomic Assessments/Worksite Accommodations Manual Chapter found on VRIS.

For non-disability related equipment Supervisors will follow the process outlined in this Chapter.

  1. If staff request office or communication equipment for non-disability related reasons (i.e., convenience, comfort, to make them more efficient, or to replace outdated or non-repairable equipment) they must send an email to their Supervisor formally requesting the equipment. The email must provide the justification for the requested equipment. If appropriate the justification would include how the requested equipment would enhance the staff person’s productivity.
  2. If the Supervisor approves the request they will send the email from the staff person including their response to the State Office Fiscal Staff for approval.
  3. If the request is approved at the State Office Fiscal Staff the Supervisor will be informed as to how to proceed with purchasing the equipment
  4. If the Supervisor is requesting office or communication equipment for his/her office they will send an email to the State Office Fiscal Staff for approval.
  5. The area ATP Technology Specialist may be consulted if deemed necessary. ATP has developed packages of office or communication equipment from which staff can select. These packages include office chairs and headsets. By selecting from these packages VR maintains uniformity between offices and keeps costs at reasonable levels.
