Who Does What
Office Director-Supervisor

1. Discuss the Records, Confidentiality, and Information Release and Records, Confidentiality, and Information Release and the Confidential Electronic chapters in the Program Manual with the non-employee.
2. Discuss Administrative Memorandum #503, Volunteers and Unpaid Interns. (Not required for SOS workers).

3. Print and complete the Confidentiality Agreement, NDE Volunteer/Unpaid Intern, and Background Screen Release of Information - VR Employees, Volunteers/Interns and Service Agreement.

3a. SOS workers do not complete the NDE Volunteer/Unpaid Intern and Background Screen Release of Information forms. 

3b. Provides non-employee with a copy of the Confidentialty Agreement and retains a local office copy.

2a. Make two copies and distribute as follows.
Original to Team Office Director
Copy to individual who signed the agreement
Copy to Pat Bracken, Program Director Vocational Rehabilitation 301 Centennial Mall South P.O. Box 94987 Lincoln, NE 68509-4987
3. Print the Background Screen Release of Information and have the individual complete the release
. 3. Scan and email a copy to VR HR (Vicki Rasmussen) (Pat Bracken). Mail original to Pat Bracken, Program Director Vocational Rehabilitation 301 Centennial Mall South P.O. Box 94987 Lincoln, NE 68509-4987
4. Discuss Administrative Memorandum #503, Volunteers and Unpaid Interns. (Not required for SOS workers)
4a. Complete the NDE Volunteer/Unpaid Intern form
4b. Distribute copies as directed on the form
4. Scans and emaisl the appropriate form(s) to Vicki Rasmussen.Send a copy to Pat Bracken, Program Director Vocational Rehabilitation 301 Centennial Mall South P.O. Box 94987 Lincoln, NE 68509-4987

4a. Cc: the Data Center (Tibor Moldovan), if there is a need for the non-employee to have access to Outlook, iChat, QE2, and, or VRIS. Specifically state which access is being requested and the rationale for the non-employee access. Requires VR Director approval.
5. Send an email to VR-HR (Pat Bracken) with a

VR HR (Vicki Rasmussen) (Pat Bracken)

6. Approves or disapproves the request for access. 5. Submits NDE Volunteer/Unpaid Intern to VR Director for approval signature.

7. Notifies Office Director or Supervisor of approval or disapproval decision on access.

7a. Send approved/disapproved NDE Volunteer/Unpaid Intern form to Office Director

7b.  Sends approved NDE Volunteer/Unpaid Intern and Background Screening forms to NDE HR

7c.  Retains a copy of Confidentiality Agreement and NDE Volunteer/Unpaid Intern forms

 

 

Any student intern, volunteer, student worker, practicum student, SOS worker, or other individual from outside the agency who may have access to confidential client information or have contact with Nebraska VR clients must be oriented to the agency policies on confidentiality and complete a background screening. (Background screening is not necessary if the non-employee will not be accessing confidential client information or having direct contact with Nebraska VR Client.

Access to Outlook, iChat, QE2 and/or VRIS must be requested and approved by the VR Director.

The individual may begin performing duties before the background screen is completed, unless the Nebraska VR is aware that the applicant has reported any conviction (not just felonies).
