New Employee Set Up Process

1.   Notifies vr.hr@nebraska.gov (Victoria Rasmussen and Cinda Wacker) when a Supervisor and applicant agree on a starting date.

2.   Discusses plan for the new employee’s local office training with the appropriate Program Director(s) prior to the new employee’s start date.

4.   Emails norma.white@nebraska.gov if new hire is provided a cell phone.

5.   E-mails nde.hrjobpostings@nebraska.gov with the following:

• Full Legal Name
• Home address
• Office location
• Team/Supervisor
• Position title and Degree
• Position number
• Name of person vacating position
• Start date
• Phone number (Select [ ]Landline or [ ]Cellphone)
• Hourly (non-exempt) starting pay rate or Annual (exempt) starting salary

6.   Enters new employee in QE2 Hierarchy.

7.   Sets up New Employee Orientation with NDE HR.

8.   Emails last 4 digits of new employee’s Social Security Number to cheryl.ferree@nebraska.gov.

9.   Sets up new employee for training in Elsevier using the last 4 digits of the new employee’s Social Security Number.

10. Notifies Supervisor when new employee is set up for training in Elsevier.

VR Data Center (Tibor Moldovan, Laura Stueck)

11. Sets up the Active Directory Account.

12. Configures applications on new staff member’s computer.

13. Sends e-mail document with instructions to computer helper and Supervisor.

VR Executive Office Assistant (Cinda Wacker)

14. Schedules Instant Messaging meetings in Outlook with new employee and VR Director, mark.schultz@nebraska.gov .

NDE HR

15. Emails offer letter to New Hire.

16. To meet Department of Homeland Security/US Citizenship and Immigration Services legal requirements, #16 is required prior to the first day of employment:

      16a. Meets with:
• New Hire
• Local office I-9 Contact

to complete the following forms:

I-9
W-4
New Hire/Employee Roster
Direct Deposit Information  and/or Focus Card Enrollment form (if electing debit card)

      Note: If a U.S. Passport, Passport Card, Permanent Resident Card (I-551), or an Employment Authorization Document (I-766) is presented as documentation for the I-9, scan a color copy of the passport page containing the photo or the side of the immigration card with the photo. This copy must accompany the I-9 form. This is necessary so State Personnel can complete the photo matching in the E-Verify process.

16b. Scans and renames the scanned attachments to:
• New Employee’s First Name, Initial, Last Name

16c. Emails the completed forms to:

nde.hrjobpostings@nebraska.gov
vr.hr@nebraska.gov

with the following information in the Subject of the Email:

• First Name Initial/Last Name/"Permanent Employee" in the Subject Line of the email.

17. Helps employee make name and title decision for business cards and name tag.

18. E-mails business cards and name tag information to Program Associate, sandy.ham@nebraska.gov .

19. Has the new employee complete the NDE Work Schedule Change Request.

20. Signs the NDE Work Schedule Change Request.

21. Files the NDE Work Schedule Change Request in office files.

Supervisor

22. Shreds/deletes the original documents listed in step 14 including any copies of a U.S. Passport, Passport Card, Permanent Resident Card (I-551), or an Employment Authorization Document (I-766) used for the I-9 documentation.
