New Employee Set Up Process

NDE HR

After an offer is accepted, NDE HR:

1. Sends the following to the new hire:

• Offer Letter
• W-4
• W-4N
• I-9
• Direct Deposit

2. Emails the following to the VR Supervisor, VR Director (Lindy Foley), lindy.foley@nebraska.gov, and VR Assistant Director (Victoria Rasmussen), victoria.rasmussen@nebraska.gov:

• Offer Letter
• Onboarding checklist

3. Uploads the Offer Letter to the new hire's personnel file.

4. Schedules NDE new employee orientation through Zoom for the Thursday following the new employee's start date.

For Associates, Service Specialists, and Rehabilitation Specialists:

5. Pre-fills 5 probationary goals in Employee Development Center (EDC).

Supervisor

6. Follows the appropriate activities and trainings for the new staff member outlined on VRIS/Training//New Staff Activities and Training Plans.

7. Emails State Office staff, vr.officestateoffice@nebraska.gov, with cell phone number from the previous staff member. If there is an overlap with the current staff member and the new hire, no new cell phone can be purchased.
or
7. Emails Executive Assistant, cinda.wacker@nebraska.gov, to order a new cell phone if there is no cell phone from a previous staff member.

Assistant Director (Victoria Rasmussen)

8. E-mails:

• All VR Staff, vr.allstaff@nebraska.gov
• Tobias Orr/ATP, tobias.orr@nebraska.gov

with the following new hire information:

• Full legal name
• Position title
• Specialty
• Office location
• Team/Supervisor
• Start date
• Phone number [ ] landline or [ ] cell, if phone number is known
• E-mail address
• Current State Employee [ ] Yes [ ] No

9. Enters new hire in QE2 Hierarchy.

NDE HR

When the new hire forms and I-9 documentation are received from the new hire:

10. Sends the following to victoria.rasmussen@nebraska.gov:

• New Employee Questionnaire (which includes the New Hire Roster) 

VR Data Center (Laura Stueck, Chad Miles, Tibor Moldovan)

11. Creates an account on the Active Directory for the new staff hire.

12. Sends OCIO Ticket to Mail Enable Account.

13. Checks with Supervisor if the new staff member needs Adobe Sign and/or Remote Fax. If so:

13a. Creates Adobe Sign account
13b. Adds to Remote Fax Email group

14. Adds new staff member to the appropriate email groups.

15. Sends OCIO Ticket requesting a VPN account for the new staff member.

16. Confers/Configures laptop, software, and how to distribute to the new staff member.

VR Executive Assistant (Cinda Wacker)

If issued a cell phone from a previous staff member:

17. Emails the existing cell phone number to:

• OCIO, norma.white@nebraska.gov

17. If a new cell phone is warranted:

• Orders a new cell phone in the OCIO Cell Phone Portal.

18. Schedules 2 informal meetings with the following in Outlook calendar and Zoom:

• New employee
• Lindy Foley, VR Director, and
• Victoria Rasmussen, VR Assistant Director
using the following schedule:
• After 1 month of employment for all VR staff
• After 5 months of employment for Associates
• After 7 months of employment for Service Specialists, Rehabilitation Specialists, Program Specialists, Office Directors, and Program Directors

VR IT (Chad Miles, Laura Stueck, Tibor Moldovan)

On the first day of employment:

19. Emails cell phone set-up instructions to new hire.

Within the first few weeks of employment or before:

20. If available, delivers a laptop to the new staff member.
or
20. If not available, mails a laptop to the new staff member.

21. Sets up cell and laptop with the new staff member.

Supervisor

22. Emails business cards and name tag information to Program Associate, sandy.ham@nebraska.gov.

If a new cell phone was ordered for the new staff member:

23. Has the new staff member email the new cell phone number to cinda.wacker@nebraska.gov.

24. Provides new hire with the following personal protective equipment (PPE)

• bottle of liquid hand sanitizer w/ pump
• clear mask
• cloth mask

25. Completes the ergonomic paperwork.
