Summary of Changes

This chapter replaces the Rule 72 Exceptions chapter and the High Cost chapter. The change is being made to standardize 1) the process for approving items over $2,000, and 2) exceptions to the fee schedule in Rule 72. A list of changes includes:

• Removed requirement for Program Director to approve high cost (over $2,000) goods and services.
• Goods and services that are not a part of the Rule 72 fee schedule will now require approval of the Office Director if they exceed $2,000. The high cost check box has been removed from QE2 and authorizations will automatically require approval if exceeding $2,000.
• Goods and services that are a part of the Rule 72 fee schedule will require a cost exception by the Office Director only if they exceed Rule 72.

Services exempt from exceptions and approvals are identified in the policy.

QE2 Update

High cost check box has been removed from QE2; approval or exceptions will be auto determined by QE2 based on amount of authorization.

Goods and services requiring approval/exception will auto generate an email to the Office Director/Program Director at the time of authorization.

Approval or denial of the authorization will be documented in an auto-generated task note.

Team Communication

Discuss changes at a team meeting to ensure staff understand the change in policy and process.
