With the occurrence of COVID-19 and the rapid movement to telecommuting it was necessary to evaluate new processes for working with clients on job placement services.  Some of our clients do not have access to computers or the Internet, and in the past have relied on VR staff or library computers in order to complete online job applications during placement services.  With both these avenues currently closed to them, we are looking at alternative ways of assisting them in completing these online applications, as well as paper applications when appropriate.  The following process can be followed for completing employment applications for clients.

  1. We must first obtain, in writing (or electronic signature), consent to complete online or paper applications for the client.  This consent will be incorporated into the Job Search Agreement.
  2. Online or paper applications can only be completed while on the phone (or Zoom, Skype, FaceTime or other interactive media) with the client.
  3. You may include, in the cover letter or application, a paragraph that states “This application was completed on behalf of [the client] by [your name], due to an inability on their part to access a computer at this time.  In order to reach them directly, phone contact is preferred.  Email contact will be routed through [your name] to the applicant for their response.”  There is no need to include the agency for whom you work in this statement.
  4. VR Specialist needs to ensure there is a way for the employer to follow up with the client- either by phone or email that is monitored by the client on a regular basis.
