New Employee Set Up Process

NDE HR

After an offer is accepted, NDE HR:

1. Sends the following to the new hire:

• Offer Letter
• W-4
• W-4N
• I-9
• Direct Deposit

2. Emails the following to the VR Supervisor, VR Director, and VR Assistant Directors

• Offer Letter

3. Uploads the Offer Letter to the new hire's personnel file.

4. Schedules NDE new employee orientation through Zoom for the Thursday following the new employee's start date.

For Associates, Service Specialists, and Rehabilitation Specialists:

5. Pre-fills 5 probationary goals in Employee Development Center (EDC).

Supervisor

6. Follows the appropriate activities and trainings for the new staff member outlined on VRIS/Training//New Staff Activities and Training Plans.

7. Emails Executive Assistant, with cell phone number from the previous staff member.
or
7. Emails Executive Assistant, to order a new cell phone if there is no cell phone from a previous staff member.

• If there is an overlap with the current staff member and the new hire, no new cell phone can be ordered.

NDE HR

8.  Sends the following to VR Data Center, vr.helpdesk@nebraska.gov:

• New Employee Information spreadsheet

VR Data Center 

9. Enters the following in QE2 Hierarchy/Staff Members:

Basic Information:

• First Name
• Nickname
• Last Name
• Last Name Alias
• Address Line 1
• Address Line 2, if needed

• Work landline, if issued

10. Notifies Program Funding Specialist the above information has been entered.

11. Sends the information below on the new employee to following staff members:  Training and Development Specialist, Executive Assistant, and Program Funding Specialist:

Program Funding Specialist  12. Enters the following in QE2 Hierarchy/Staff Members:

NOTE: One week before the new employee starts:

13. Creates accounts for new employee. 
14. Adds new employee to the appropriate email groups.
15. When new employee's email address is ready for use, email the following with what accounts have been set up:

  • VR IT Infrastructure Support Senior 
  • VR Training and Development Specialist
  • VR Executive Assistant
  • VR Marketing and Communications Specialist
  • New employee's supervisor 

16. Creates a new employee record in WASP inventory
17. Enters ABN in WASP inventory, when available
18. Updates WASP inventory equipment being assigned to new employee
19. Configures laptop
20. Schedules with supervisor a time for new staff issuance of equipment
21. Emails the supervisor the schedule if there are staff in numerous locations starting on the same day

VR Executive Assistant 

22. If issued a cell phone from a previous staff member:

• Submits a ticket in the OCIO cell phone portal, https://serviceportal.ne.gov/KnowledgeBase/View/142#!/, to assign an existing/x-staff member's cell phone number to the new staff member.

23. If a new cell phone is warranted:

• Submits a ticket in the OCIO cell phone portal, https://serviceportal.ne.gov/KnowledgeBase/View/142#!/, ordering a new cell phone for the new staff member.

24. Emails the current year's meeting memo to the new staff member.

25. Schedules 2 informal meetings with the following in Outlook calendar and Zoom:

• New employee, VR Director, and VR Assistant Directors
using the following schedule:
• After 1 month of employment for all VR staff
• After 5 months of employment for Associates
• After 7 months of employment for Service Specialists, Rehabilitation Specialists, Program Specialists, Office Directors, and Program Directors

VR Data Center

On the first day of employment:

26. Meets with employee, delivering laptop and other equipment, as necessary

27. Assists new employee with logging into accounts on laptop and iPhone

28. Assists new staff with getting acquainted with laptop

29.Obtains new staff signature and uploads into QE2 hierarchy.

Supervisor

30. Submits business card request via :https://forms.gle/iPYS1JCTgG8xa8nP7

31. If a photo identification badge is warranted:
•Omaha staff: Works with DAS staff member, lisa.corriveau@nebraska.gov   
•State Office: Information provided in offer letter and on-boarding checklist
•Other VR offices: Emails employee's head shot as a .pdf to NDE HR Associate, terri.donahue@nebraska.gov 

32. Has the new staff member enter the cell phone number and landline, if needed, in:

•Workday

•QE2 Employee Roster

33. Completes the ergonomic paperwork.
